Embroidery for Non-Profits & Fundraisers
Event volunteer shirts, donor gift items, board director polos, embroidered gala totes, and 5K event apparel with 501(c)(3) discount pricing.
Embroidery That Respects Your Mission Budget
Non-profits run on tighter margins than any other industry we serve. Every dollar that goes to a vendor is a dollar that did not go to the mission. We respect that. Verified 501(c)(3) organizations get a discount on top of our standard bulk pricing, and we will help you scope an event apparel order to the budget that actually exists - not push for upsell items the organization does not need.
Embroidered event apparel also outlives the event in a way that printed swag does not. A volunteer shirt from a 5K embroidered with the organization mark gets worn for years - to the gym, to the grocery store, around the neighborhood. Each one becomes a small piece of recurring brand visibility for the organization long after the event itself is over. Printed swag goes in the donation pile after one wash.
For donor and board gear, embroidery signals that the organization treats its volunteers and supporters as serious partners. A board director polo with an embroidered organization crest is a different artifact than a printed t-shirt. The board notices, and that perception sustains the organization's ability to recruit serious leadership.
What We Embroider for Non-Profits
- Event volunteer shirts and hats for 5Ks, walks, and community events
- Donor gift hats, polos, and vests for major giving programs
- Board director polos, blazers, and quarter-zips
- Gala and fundraising event embroidered totes and throws
- Silent auction custom embroidered items

- Volunteer recognition gear (years-of-service tiers)
- Recurring program staff polos (after-school programs, food pantries, shelters)
Placements & Event Layouts
For event volunteer shirts, left chest organization mark plus right sleeve event-year embroidery is the standard layout - small enough to keep the unit cost reasonable, visible enough that the volunteer can wear the shirt afterward without it reading as one-time event gear.
For donor gifts, left chest organization mark in a premium color match is standard. For board polos, left chest mark with optional name embroidery underneath. For gala totes, full-front center is the highest-impact placement.
501(c)(3) Discount & Event Planning
Verified 501(c)(3) organizations receive an additional discount on bulk orders. Send a copy of your IRS determination letter with your first order and we will apply the rate going forward to all subsequent orders.
For event timelines, we will plan back from your event date to make sure embroidered apparel is on hand the day before. 5Ks, gala dinners, fundraising walks - none of them get to slip on volunteer apparel timing. We treat the event date as fixed and work the production schedule against it.
“Our 5K runs every Memorial Day weekend and we needed 220 volunteer shirts, 50 board polos, and 40 donor hats embroidered with the year. EmbroideryLI applied the non-profit discount automatically, hit the event date with a week to spare, and the volunteer shirts are still being worn around town a year later. That is exactly what we want.”
Pricing & Bulk
Left chest embroidery on volunteer shirts and hats starts at $10. 501(c)(3) discount applied on top of standard bulk pricing. Volume discounts trigger at 50, 100, and 250 pieces - typical for community event orders. See pricing. Free digitizing on orders of $150 or more.
Non-Profit Embroidery FAQ
Do you discount for 501(c)(3) non-profits?
Yes. Verified 501(c)(3) organizations get an additional discount on top of our standard bulk pricing. Send a copy of your IRS determination letter when you place your first order.
Can you produce event volunteer shirts on a tight fundraiser timeline?
Yes. We have turned 5K event volunteer shirt orders in two weeks from artwork approval to ship. For larger events we plan further back, but we can move fast when the date is fixed.
Do you embroider on donor gift items for major giving programs?
Yes. Embroidered hats, vests, polos, and accessories personalized for major donors are common. We can also produce levels-of-giving recognition items differentiated by embroidery treatment or color.
Can you set up gala or silent auction embroidered items?
Yes. Custom embroidered totes, throws, and apparel with the gala year or honoree name are produced as small-run silent auction items or guest favors. We can also embroider on-site at higher-end events.
What about board director gear and recognition apparel?
Embroidered board polos, blazers, and quarter-zips for board members are standard. We add years-of-service or position recognition embroidery as needed.
